JOB DESCRIPTION:

Our Recycling Company has over 7 employees and 250 contracts in Alberta, and is growing.  This position is pivotal to ensuring that the day-to-day operations of the Company continue to operate and grow seamlessly.  This position will require the incumbent to work at the office set up in Calgary. While your immediate report to will be the Manager of Operations, you will clearly be dividing your time equally supporting the Manager of Operations and the Director of Sales in day-to-day operations.  You will be supported with a desk, laptop, Company cell phone, and printer.  Internet and Cell phone costs will be covered by the Company.  This position consists of 4 major responsibilities; 1) Supporting the Operations of the Company, 2) Providing Marketing/Sales/Contract support to the Director of Sales, 3) Overseeing website and internet business related projects, and 4) taking an active role in Business Building initiatives for the Company.  In any given day, the responsibilities and expectations will vary, and as a result highly efficient time management and project prioritization is essential.

1.Supporting the Operations of the Company:

  1. Answering the phones for the Company and communicating with new and existing customers with the intent of ensuring customer satisfaction, securing new business, optimizing business opportunities for the Company, requesting references for the website, solving complaints to satisfaction, and making satisfied customers become loyal customers
  2. Actively updating the KIA (Know It All) Excel© spreadsheet accurately by 1) adding customers, 2) deleting customers, 3) making necessary changes to totes/bins sizes and pick up frequencies, 4) adjusting billing rates accordingly with price increases/fuel surcharges, and changes as previously listed and 5) capturing extra billings for overfills, extra pick-ups, and additional services. As time progresses the KIA may be transferred to a more detailed CRM software
  3. Monitor an email address dispatch@LBR.com that goes to the Operations Manager and the Strategic Support Supervisor. The latter is responsible to respond and resolve to all the emails so that time is freed up for the Operations Manager and the Strategic Support Supervisor can log in real-time extra pick-ups, and no revenue is lost. All contracts will be provided this email as their recommended communication mode and with our phone number as direct back up.
  4. Actively ensuring that all of the changes in the KIA are in tandem with the Quickbooks© database in order to ensure proper monthly billings, once over add-ons, pick-ups, and overflow billings are captured, and any other changes are incorporated properly
  5. Communicating with the bookkeeper who will issue monthly invoices to the accuracy of the data in Quickbooks© that you have properly updated
  6. Take an active role in Accounts Receivables as directed by the Operations Manager and Director of Sales
  7. There may be times when you might also need to visit a site for issues and site assessments. If necessary, this must be done
  8. Monitoring the supply of totes and bins in an ongoing process, and when necessary be instrumental in ordering more of whatever is required in a timely fashion, so as not to interrupt contract start dates and existing services
  9. Assisting in route changes as new customers are added, and ensuring route optimization is implemented with the assistance of appropriate communication and utilizing appropriate software
  10. Assisting in the placement of personnel ads and semi-screening resumes for the management to review
  11. Taking an active role in the processes and procedures of ensuring CORE is successfully implemented in the Company, and successfully maintained by the Company
  12. Track all HSMS documents with regards to COR requirement (assistance from the Operations Mgr)
  13. Once COR certified, liaise with current partnership in safety to maintain current requirements in the industry for COR
  14. Track and record all training requirements for COR requirements
  15. Pull the Carrier Profile monthly from Alberta Transportation and distribute for review by Management Team
  16. Numerous other day-to-day operational tasks to support the needs of the Operations Manager
  17. Where time management of all of the above is an issue with time management of all of the below, communicate as a threesome with the Operations Manager and Director of Sales to review your priority list to the satisfaction of all

2. Providing Marketing/Sales/Contract support to the Director of Sales:

  1. Co-ordinate and assist in writing up new contracts, completing bid packages, utilizing the inputs and guidance from the Director of Sales, including reviewing the accuracy and completeness of the input from the Director of Sales, and ensuring all necessary details of the Contract are captured and addressed appropriately prior to the Contracts being sent out
  2. Compile a library of bid packages, RFPs, quotations, and support documentation which will facilitate future contracts in a timelier manner and act as a resource to draw from for multiple purposes.
  3. Take a lead role in establishing a “Standard” bid package that acts as a template, and continually improve on this template as we gain more experience. The Director of Sales will help in this process
  4. Meeting all of the Contract deadlines or requests by due date for the Director of Sales
  5. Assist in the completion of forms sent for tenders, RFPs and similar opportunities for business
  6. Obtaining reports from the KIA to assist the Director of Sales in taking business building options with the Company
  7. Assist sales by resolving payment issues, and developing customer service, satisfaction, and loyalty initiatives
  8. Numerous other day-to-day operational tasks to support the needs of the Director of Sales
  9. Assist in completing forms and communicating with suppliers and customers regarding optimizing communication, and with regards to the addition, starting, ending, or modifying current accounts

3. Overseeing website and internet business related projects:

  1. Taking an active role in directing copy changes and additions to the website as changes in the Company occur and require us to reflect those changes, including adding letters of reference, etc.
  2. Leverage domains in order to network for business opportunities such as LinkedIn and similar
  3. Looking for low-cost high return opportunities to build the business, and sifting those potential opportunities through the website administrator and your direct reports
  4. Writing and placing ads in appropriate media
  5. Review and assess other web or internet directives seen as potential opportunities

As the Company grows, it expects to have a second Strategic Support Supervisor/Admin person supporting the Company. At that point in time, your efforts will either be solely with sales or solely with operations. However, you will be instrumental in training the new incumbent, and cross-training each other should there be unexpected changes.

REQUIRED SKILLS AND ABILITIES/EDUCATION:

  1. A minimum of a B.A. or B.Sc.
  2. Exceptional familiarity with Microsoft EXCEL and Microsoft OFFICE™
  3. Strong communication skills, primarily verbal and written
  4. Direct relevant experience in all 3 of the above categories
  5. Time management efficiency
  6. Multi-tasking and prioritization skills
  7. The ability to effectively analyze, plan, organize, prioritize, and meet deadlines
  8. The ability to work under pressure and deadlines with little supervision
